1. Purpose and scope

This AI Notice explains how Ruzaani uses artificial intelligence, the limits placed on that use, how information may be processed through AI systems, and when human judgment remains required.

It applies to AI-assisted functions made available through ruzaani.com, including self-service assessments, and to AI-assisted work performed by Ruzaani in connection with inquiries, analysis, consulting, and related professional activities.

This Notice supplements the Privacy Notice and the Terms of Use. The Privacy Notice governs the processing of personal data generally, while the Terms of Use govern the conditions under which website content, self-service assessments, and their outputs may be used.

Ruzaani is a trade name operated by Fernando Alberto Ocampo Romay, with domicile at Hidalgo 914, Coatzacoalcos, Veracruz 96400, Mexico.

2. Role of artificial intelligence

Ruzaani uses artificial intelligence as an assisting technology rather than as an independent source of professional authority.

AI may be used to support activities such as analyzing structured or unstructured information, identifying patterns or inconsistencies, organizing information, generating or refining explanatory text, assisting with research, producing drafts, or supporting other analytical tasks for which language models are useful.

The fact that artificial intelligence has contributed to an analysis, explanation, or draft does not give that output greater evidentiary weight, professional authority, or certainty. AI-assisted material remains subject to the same requirements concerning evidence, uncertainty, scope, and appropriate review that would apply if the work had been produced without an AI system.

3. Self-service assessments

The fundamental result of a Ruzaani self-service assessment is not independently determined by an artificial-intelligence model.

The assessment's scoring rules, thresholds, gates, required calculations, permitted result states, and principal routing logic are deterministic. They are established by the assessment methodology and applied independently of any generative AI service.

AI may assist in producing, adapting, or improving explanatory material associated with a result, provided that such assistance does not alter the deterministic result established by the assessment rules. An AI system is not permitted to override a score, remove an applicable gate, invent a different disposition, or replace a required conclusion merely because the model would have reached another interpretation.

If an AI service is unavailable or no provider satisfying Ruzaani's data-handling requirements is available, the deterministic assessment result remains the authoritative self-service result. AI availability is not a condition for the assessment's core scoring and bounded conclusion.

A self-service assessment remains a self-reported, non-audited informational tool regardless of whether AI contributes to any explanatory part of its output. Neither the deterministic assessment nor AI-assisted explanatory material constitutes an audit, certification, assurance opinion, verified professional conclusion, or substitute for specialist review where such review is appropriate.

4. AI in professional work

Ruzaani may use AI to assist research, document analysis, synthesis, comparison, contradiction detection, preparation of working materials, drafting, or other analytical activities undertaken in professional work.

AI assistance does not transfer professional responsibility to the model or provider. Where an engagement requires a professional conclusion, recommendation, formal assessment, audit-level finding, or other output for which accountable human judgment is required, the applicable conclusion must be reviewed and released by the responsible Ruzaani consultant or other qualified specialist.

An AI-generated statement is not treated as evidence merely because a model produced it. Where a conclusion depends on factual evidence, the evidence must be evaluated according to the applicable method and engagement scope.

Ruzaani may therefore accept, modify, reject, or disregard AI-generated material. AI output does not bind Ruzaani, a client, or any other person unless it has been incorporated into an applicable final work product through the required review process.

5. Information submitted for AI processing

Only information reasonably necessary for the relevant AI-assisted function should be submitted to an AI service.

Depending on the function, this may include assessment information, business context, excerpts from documents, structured data, questions, instructions, or other material required to perform the requested analysis. Ruzaani seeks to minimize the amount of information transmitted and does not intentionally submit unrelated personal data or confidential material merely because it is available.

Information supplied through self-service assessments, inquiries, or consulting engagements is not provided to AI providers for their own advertising, marketing, profiling, or commercial research.

Where professional work involves particularly sensitive, confidential, regulated, or otherwise restricted information, AI use may be further limited or excluded according to the applicable engagement, legal obligation, client requirement, or risk presented by the information.

6. AI provider and routing

Ruzaani uses OpenRouter to route approved AI requests to compatible model providers.

Ruzaani configures its AI processing so that requests containing Ruzaani, assessment, prospect, or client information are restricted to routes satisfying Ruzaani's data-handling requirements. OpenRouter provides controls that allow routing to be restricted to Zero Data Retention endpoints and providers that do not collect submitted data for training or storage.

Model providers available through OpenRouter do not all follow the same retention practices. Ruzaani therefore does not treat availability through OpenRouter alone as sufficient authorization to use a provider. Providers that retain prompts, train on submitted information, or otherwise fail Ruzaani's applicable data-handling requirements are excluded from processing covered by this Notice. OpenRouter's own provider information distinguishes between providers offering zero retention and providers that retain prompts or other request data.

Where no compliant provider is available for an AI-assisted function, Ruzaani's systems are expected to fail that AI-assisted operation or continue through an available non-AI process rather than silently relax the applicable data-handling requirement.

7. No model training

Ruzaani does not authorize assessment responses, reports, prospect communications, client information, engagement materials, or other information submitted to Ruzaani to be used for training or improving general-purpose AI models.

AI routing and provider selection must therefore exclude processing arrangements under which such information would be used for model training.

This restriction concerns information submitted through Ruzaani. It does not prevent Ruzaani from using publicly available AI models that were previously trained by their developers on datasets selected by those developers, nor does it constitute a representation by Ruzaani concerning the lawfulness or provenance of every item contained in a model developer's historical training dataset.

8. Data retention by AI providers

For AI processing covered by this Notice, Ruzaani requires Zero Data Retention routing and denies providers whose applicable endpoints retain or collect submitted prompts for their own purposes.

OpenRouter's routing controls permit requests to be restricted to Zero Data Retention endpoints and to deny providers that store or train on submitted information.

This requirement concerns the substantive information submitted for inference. Technical, security, billing, or legally required records maintained by infrastructure providers may be subject to their applicable service terms and legal obligations, provided that such processing does not authorize the substantive submitted material to be retained or used contrary to Ruzaani's stated requirements.

Ruzaani does not enable optional prompt-storage functions for material covered by this Notice where doing so would conflict with its Zero Data Retention requirement.

9. AI outputs and accuracy

Generative AI systems can produce incomplete, inaccurate, unsupported, inconsistent, or misleading output. They may also infer information that was not supplied, misunderstand context, or state uncertain information with inappropriate confidence.

For that reason, Ruzaani does not treat an AI output as independently verified fact merely because it has been generated by a model. The degree of review applied depends on the function, the information involved, the consequences of error, and whether the material forms part of a professional deliverable.

AI-assisted explanatory material in a self-service assessment remains subject to the limitations of the assessment itself, including its reliance on self-reported information and its lack of independent verification.

Where a decision carries material legal, financial, operational, security, regulatory, safety, or other consequences requiring specialist judgment, an AI-assisted output should not be treated as a substitute for the appropriate qualified review.

10. Automated decision-making

Ruzaani does not use a generative AI model to make autonomous decisions that determine whether a person is entitled to employment, credit, insurance, healthcare, public benefits, legal rights, or another comparable individual entitlement through the functions covered by this Notice.

The self-service assessments concern organizational conditions and transformation decisions. Their bounded results are produced through predetermined assessment logic rather than autonomous generative-model decision-making.

Where Ruzaani later introduces a materially different automated decision-making function affecting individuals, the applicable notices, safeguards, and consent or other legal requirements will be addressed before that function is placed into use.

11. Human responsibility

AI systems used by Ruzaani are tools. They do not become consultants, specialists, auditors, decision-makers, or contracting parties.

Responsibility for professional work remains with the person or persons accountable for that work under the applicable engagement. Responsibility for organizational decisions remains with the organization or person making those decisions.

A client or website user should therefore distinguish between an automated or AI-assisted informational output and a professional conclusion expressly issued by Ruzaani under an applicable engagement.

12. Confidentiality and client requirements

The use of AI does not remove or reduce confidentiality obligations applicable to Ruzaani.

Where an engagement imposes restrictions on the use of external processors, artificial intelligence, particular model providers, processing locations, categories of information, or other technical means, those engagement-specific restrictions apply to the work they govern.

Ruzaani may decide not to use AI for particular information or activities where the nature of the material, applicable law, contractual restrictions, professional judgment, or risk makes AI processing inappropriate.

13. Relationship with research and statistics

Ruzaani's internal statistical analysis of structured assessment responses is separate from generative AI provider processing.

Assessment-response datasets used for Ruzaani's internal research are disassociated from direct account, email, and session identifiers before use as research datasets. They are not supplied to OpenRouter, model providers, Google Analytics, LinkedIn, Meta, or other third parties merely for statistical analysis.

Where AI is used by Ruzaani to assist in examining an internal research dataset, only a processing route satisfying the requirements of this Notice may be used, and the resulting AI output does not replace the statistical methodology necessary to support any published finding.

14. Changes to AI providers or practices

AI technologies, model providers, and provider capabilities change over time. Ruzaani may replace a model or change a routed model provider used through OpenRouter without amending this Notice where the change remains within the substantive rules stated here. A change to Ruzaani's AI routing provider or to the substantive data-handling rules described in this Notice will be reflected in the applicable notices.

A provider change does not authorize weaker data treatment. Any provider receiving information covered by this Notice must satisfy the applicable no-training, retention, confidentiality, and processing restrictions in force for the relevant use.

If Ruzaani materially changes the purposes for which AI is used, permits a materially different form of data processing, or introduces autonomous decision-making that materially changes the effect of AI on users or clients, this Notice will be revised before or when the new practice becomes applicable, as required.

15. Changes to this AI Notice

The AI Notice published at ruzaani.com/ai-notice/ is the current version and becomes effective on the date stated at the beginning of the document.

Ordinary revisions are communicated by publishing the updated Notice with a new effective date. Where a change to AI processing creates a new purpose for processing personal data for which additional consent is legally required, Ruzaani will obtain that consent before applying the new purpose to affected information.

Historical versions may be retained internally where necessary to establish which AI-use terms applied to particular processing or an applicable engagement.

16. Language

Ruzaani may publish this AI Notice in more than one language. Where legally permissible, the English version governs interpretation in the event of an inconsistency between published language versions, without limiting mandatory rights arising under applicable law.
